Privacy notice

Last updated 18 August 2026. This notice explains how Route Maphub handles personal data of site visitors and people who enquire about or attend programmes.

Data controller

The controller is Route Maphub, 23 Newport Road; Carkeel; PL12 2EA; United Kingdom. Email info@route-maphub.digital. Telephone 077 8590 0973. We are a small studio; there is no separate data protection officer. Privacy questions come to the same desk.

What we collect

From the contact form and email: name, email address, optional topic, and the message you write, which may include workplace details you choose to share. From enrolment: billing name, company if any, and attendance notes. From the site: the cookie described on the cookies page if you accept analytics, plus essential storage of your cookie choice. We do not ask for special category data. Please do not paste end-user personal data from your app into the form.

Why we use it

We reply to enquiries, administer seats, send timetable changes, keep a modest alumni list for people who opt in, and keep records required for UK tax and consumer law. Legal bases are contract (a confirmed booking), legitimate interests (running a tuition studio and securing the site), consent (optional alumni notes and non-essential cookies), and legal obligation (accounting).

Retention

Enquiry messages that do not become bookings are kept for 18 months, then deleted from active mailboxes unless a legal claim is open. Confirmed booking records and invoices are kept for six years after the tax year of the fee. Session recordings for a term are deleted 90 days after the last sitting unless a participant has asked for a copy within that window. Cookie consent stored in your browser remains until you clear it or choose again.

Processors and hosting

Email and file storage may be provided by reputable UK or EEA hosts. If a video room is used for a live session, that provider processes account names and video for the duration of the sitting. We do not sell lists. We do not allow processors to use studio data for their own advertising.

International transfers

Where a tool stores data outside the United Kingdom, we rely on UK adequacy regulations where they exist, or on standard contractual clauses plus a transfer assessment. A participant joining from abroad does not, by itself, move the studio’s filing cabinet; it may mean their own device holds notes we sent.

Your rights

Under UK GDPR you may request access, correction, deletion, restriction, objection to legitimate-interest processing, and portability of data you provided. You may withdraw consent where we rely on it, without affecting earlier lawful use. To exercise a right, write to info@route-maphub.digital. We respond within one month, or explain if the law allows more time. You may complain to the Information Commissioner’s Office (ico.org.uk).

Children

Programmes are for working adults. We do not knowingly collect data from children. If you believe we have, tell us and we will delete it.

Changes

When this notice changes in a material way, we update the date and, for active participants, mention it in a timetable email.
